Free Bonus Greens Fees

Your accurate counts allow us to prepare the course and provide the best service possible. All groups start with no idea of final attendance, but last-minute changes create problems for all of our customers.

Our Rock Run Inn restaurant would be delighted to cater a delicious meal. Full bar service is available in our clubhouse. See next page, and p.6 for pricing.
You can rent our pavilion and take care of your own food and beverages.
There is a gas grill, a water spigot and electricity.
We can provide takeout picnic items like baked beans.
You can opt out of a meal altogether.

About Shotgun Starts

Regular start Everyone starts at #1, one group at a time.
Foursomes tee off every 7-8 minutes, so we can start 32 golfers per hour.

We can tee off 40 to 144 players at one time.

We provide markers for event holes, and we can provide a list of the best holes for each prize.

You can have contest(s) on par 3 holes. Call for details. You contract directly with companies, whose policies apply (our 89-yard Lakeside #13 is sometimes not eligible).

Fundraising

The following are some helpful hints for groups who hope to raise money. If something else works for you, please share your ideas!

How big does it need to be?
Some groups fill the course and have to turn away players, while other events are successful with as few as 40 golfers.

What should we charge?
It can certainly be more than your cost. If the price is fairly low, you may get more people to sign up. You can then offer pay-to-enter contests on the event day (like Chinese auctions).

Outing Coordinator's Checklist

___ Deposit & Confirmation sheet: Return to us within two weeks of booking.
___ Please read our policies carefully (p. 18)
___ Meal choice: Everything is delicious, but do let us know about any special dietary needs.
___ Is there a format or theme?
___ Draft beer & soft drinks?: You can also have a cash bar or run a bar tab.
___ Breakfast?: It's a good way to get your golfers here on time.
___ Head count: Update us often. Estimated counts are due at 30, 15, and 10 days before your outing. At 30 days, your deposit becomes non-refundable. Your group is responsible to pay for the number reserved at 10 days before event.
___ Payment: due 10 days in advance (it's not late until tee-off). You can earn free bonus golf by paing 10 or more days ahead.
___ Lessons...INSTEAD of golf: For beginners. We need 10 days' notice and four people, minimum.
___ Rental clubs: How many sets will you need? Men, women, right, left....
___ Cart-pairing and foursome list: Best if done a week ahead. No fivesomes, must be 18 to drive a cart. We will assign starting holes.
___ Prizes: See p.13. Logo items have a 4-6 week lead time.
___ Scoring: We can do your scoring free with a $5.00/person minimum prize purchase, or you can pay $1.00/person.
___ Events: Skill prizes, hole-in-one insurance, etc.
___ Hole sponsors: Are you getting tee signs?
___ Do you need a registration table?
___ Outside alcoholic beverages are prohibited by PA law. Glass bottles are prohibited. We will check coolers.
___ If you're eating in the clubhouse, do you need a microphone, a podium, a prize table, a TV/VCR?!

Inform your players
___ Flyers and Invitations: First, announce the event & print details for participants.
___ Map and directions: Detailed direction cards can be faxed or printed from our website.
___ Collect the $$$: If individuals are paying you, set a firm, EARLY cutoff date.
___ Special dietary needs: We are happy to accommodate any diet if we know in advance.
___ Alcohol: Outside alcohol is not permitted on the course, and glass bottles are expressly prohibited.
___ Lessons...INSTEAD of golf: Please encourage any beginners to try this.
___ Will you need helpers? See guidelines on p.20.
___ Early arrival: Each player should be ready at least 45 minutes before their tee time. Even better: provide breakfast to inspire them to arrive earlier.
___ Out-of-towners and stay at our Bed & Breakfast. 412-751-6670.
___ Breakfast: If you aren't having a group breakfast, let everyone know the restaurant hours.
___ Driving range: Please note that there is separate parking at the range (it is not adjacent to the clubhouse).
___ Events: Make up a list for everyone so they know what the events are (hole numbers with skill prizes, scramble or special rules, etc.).
___ Faster play: Tell everyone about the "seven swing rule." After 7 strokes (including whiffs), pick up and place your ball about 10 feet from the cup and putt. It's faster and less frustrating. The goal for an outing is to be off the course in 4.5 hours, and that they should try to play 'ready golf.'
___ Rental clubs: Find out who needs sets.
___ Showers: We have changing areas and showers. We sell $3.00 towels that you keep. We don't have lockers.

Important Details & Policies ("the fine print")

FINANCES
1. DEPOSIT and CONFIRMATION DUE Please read, sign and date confirmation sheet and return it. We will hold your date for two weeks, at which point your deposit is due. Non-standard pricing will be honored only with our written estimate.
Deposit amount: 1) Up to 40 players: value of 4 greens fees + carts; 2) 41-89 players: $5.00 /person; 3) 90+: $10.00 /person.
2. 30-Day COUNT At 30 days before the event, your deposit becomes non-refundable, and you must submit an updated count. We reserve the right to retain a partial deposit if actual attendance is significantly lower than 30-day count. At 30 days, if we cannot contact you, we reserve the right to open the times to the public.
3. 15-Day COUNT At 15 days before the event, we require another updated count. This is your Magic Day, and if your actual count is within 10% of the 15-day count, Red-carpet groups of 30 or more will be eligible to earn bonus certificates for free greens fees. You can be 'off' by 1 per 20 people for last-minute changes.
4. 10-Day COUNT At 10 days before the event, your count for golf is 'Final.' This means that you are responsible to pay for the number of golfers you have reserved. If you pay in full at least 10 days prior to your event, you can earn one free greens fee for every 30 players.
5. MEAL COUNT At 3:00 p.m. on the day before your outing, your food count is final, and we will bill for this number of meals.
6. NO-SHOWS No-shows will not be deducted; however, their meals can be packaged to go, and we will issue a gift card for the value of the golf (limit of one no-show gift card per 15 players, based on the 10-day count).
7. PAYMENT Full payment is due 10 days before the event. It is not late until tee-off. If any portion of the invoice remains unpaid on the event day, immediate finance charges apply. Organizer must make a single payment with shotguns and Red-carpet packages (individual golfers cannot pay at the register). We do not accept personal checks. Gratuities are not required, though recognition for exceptional service is always appreciated.
8. OUR DONATION If your group is eligible, we will issue your free greens fees once the outing is paid in full. See page 5 for details.
9. RAINY DAY In case of foul weather, you have three options:
1) Postpone it all -- by 8:00 a.m., and call to reschedule
2) Eat the meal, and take rain checks for the golf.
3) Continue with everything (this is most common)
   
ALCOHOL
10. SOURCES We do not permit 'outside' alcohol, even if 'complimentary'. By state law, alcoholic beverages consumed on a licensed premise (clubhouse and course) must be purchased from the licensee. 10% drink tax applies. The exception is our unlicensed pavilion, AFTER golf. If you have a sponsor for beer, we suggest using donated beer for prizes (ask for cases, not kegs), or they can sponsor the beverage cart (fixed $ or a tab).
11. LIMITS We permit one six-pack per 9 holes per cart, and we cannot serve anyone before 11am on Sunday or who is visibly intoxicated or under age 21. We do not place beer on the course. Instead you can: 1) Pre-purchase beverage cart tickets; 2) Purchase a six-pack for each cart at first and tenth holes; or 3) Run a beverage cart tab.
12. GLASS BOTTLES Glass bottles are hazardous and are expressly prohibited. We will check coolers.
   
FOOD
13. MEAL CHOICE You may make one meal selection for the group. We need to know your choice (and any special dietary needs) 10 days prior to your outing.
14. SOURCES Only food that is purchased from us is permitted to be prepared, served here. Noted exceptions: it's fine if a couple of people bring bag lunches. At registration only, it is OK to have one water per person. If you rent the pavilion, you can self-cater. Please run your plans by us first.
15. LEFTOVERS All leftovers are returned to us, even on buffets and picnics. (We prepare 'extra', in an effort to avoid running out.)
16. PAVILION USE If you wish to use our pavilion without our catered meal, the rental is $200.00. Carts are not permitted to transport food or people to the pavilion. Golfers are not permitted to stop at pavilion during their round (it slows play).
   
ON THE COURSE
17. TEE OFF Be sure that each individual is ready to tee off promptly at the reserved time. In the case of multiple outings, we may not have your carts staged until your tee time.
18. SPONSOR SIGNS We are happy to place your sponsor signs at our tees. Guidelines: maximum size 4' x 3' with thin metal legs or a single stake, on-site and assembled two hours before tee-off. On carts, tape ruins paint, but 8.5"x5.5" placards can be used. Call for beverage cart specs. We assist in retrieving signs after golf; however, you are responsible for ensuring that you have all of your signs before leaving.
19. PLAYER LIST You may pair foursomes (no fivesomes), and we'll assign starting holes or times. Please mix-in novices or schedule lessons instead. For Red-carpet groups, we will print your group's name on cart placards unless we have a list of players' names two days in advance.
20. SHOTGUNS A Shotgun start has its own rules and guidelines (see p.12). We can't guarantee that you will have the course to yourself unless you have 144 prepaid players.
21. PACE of PLAY All players must keep up with the group ahead. Our normal playing time is 4½ hours . After 5 hours, other golfers will begin play, and your players will tactfully be asked to leave the course. To avoid backups, players cannot stop at the picnic area during play.
22. DRESS CODE Shirts are required; golf attire and softspikes are preferred.
23. HELPERS Roaming carts are not permitted -- on the course or to the pavilion (they disturb players on both courses).
We will escort hole-in-one spotters to their holes. It's wise to bring a folding chair.
Photographers may set up on a single hole.
You are welcome to send a passenger on our beverage cart with our driver.
Any exceptions must be on file in writing.
When scheduling volunteers, please keep in mind that there is not much to do for the ~4½ hours during golf.
24. AERIFICATION We aerify each fall, but exact dates are weather-dependent. In 2007, we began Oct. 15.
25. CART DRIVING Individuals must be 18 or older to drive a golf cart.
26. BEHAVIOR We reserve the right to remove unruly customers and charge for property damage.
