Fundraising

The following are some helpful hints for groups who hope to raise money. If something else works for you, please share your ideas!

How big does it need to be?
Some groups fill the course and have to turn away players, while other events are successful with as few as 40 golfers.

What should we charge?
It can certainly be more than your cost. If the price is fairly low, you may get more people to sign up. You can then offer pay-to-enter contests on the event day (like Chinese auctions).

Sources of revenue and fun:

• 50/50 raffle (let us know if you need tickets)
• Chinese auction
• Silent auction
• Celebrity appearances
• Allowing people to attend for the meal only
• Themes with prizes for best decorations or unique formats like par 3s or night golf
• Selling tee sponsor signs and beverage cart signs (see specs)
• Selling 'mulligans,' or a fixed number of chances to replay a shot
• Golf Bash
• Offer contests at particular spots on the course (pay-to-enter):
  • Example 1: Putting contest on our practice green after golf.
  • Example 2: 'Beat the President' (or Chairman, Pro, etc.) at one hole. The featured person stays at a par 3 hole and hits a ball along with each foursome. Players win a small prize if they come closer to the pin. A photographer can even take a picture of everyone on the tee while they chat.
  • Example 3: Selling chances for hole-in-one on a par 3 hole. Several companies sell insurance for cash prizes or vacations, and car dealers sometimes share the cost to showcase a vehicle.
  • Example 4: Sponsor a "You Can't Lose" contest on a par 3. Chance to win larger merchandise prizes as shots land closer to pin.
  • Example 5: Offer chances to take off strokes, such as hula-hooping or taste-testing at a hole.

Obtaining prizes:

• Go around and procure prize donations to raffle or give away.
• Find a beverage cart sponsor who will pick up the tab or pre-purchase tickets (they can even place their sign on the cart). Any tickets must be issued by us.
• Shop year-round and at post-holiday sales for big items.
• At Butler's, outing organizers receive incentives for merchandise prizes in the Golf Shop.
• Limited quantities of donated snacks may be placed at the registration table. Donated beer can be used after golf for prizes, so be sure to ask for cases, not kegs. Alcohol cannot be distributed for consumption at the golf course.

from Kennywood

Rt. 837 South -- go 2.5 miles past Kennywood.
Left lane, go across McKeesport/Duquesne bridge.
Straight at end of bridge (on Rt. 148 North for ½ mile).
Right at 3rd light onto Hartman St.
Go 2.5 miles to 3rd light; it's a T.
At T, go left onto Walnut St. This is Rt. 148 South.
In 1/4 mile, road becomes Rt. 48 South (Orange Belt).
Go 1 mile to Boston Bridge. Stay in right lane.
Continue straight for 3 miles on Rt. 48.
Turn left onto Rock Run Road. Go 1½ miles.

from Downtown or Bethel Park

Rt. 51 South past Century III Mall
Cross Monongahela River to Elizabeth
(It's 6.2 miles south of Rt. 51 and Toll 43 interchange in Large to Rt. 48 junction)
Continue on 51 to junction with Rt. 48 North
Left onto Rt. 48 North (Orange Belt).
Go 4 miles on Rt. 48 North.
Turn right onto Rock Run Road and go 1½ miles.

from Uniontown or I-70

Rt. 51 North -- go 7 mi. North of I-70.
Right onto Rt. 48 North (Orange Belt).
Go 4 miles on Rt. 48 North.
Turn right onto Rock Run Road and go 1½ miles.

from Monroeville or Butler

If on Turnpike: Exit 57 (old 6) in Monroeville.
Get left for Rt. 22 West Business (Exit 16). Must immediately get all the way left on 22.
Immediate left turn at Parkvale Bldg onto Rt. 48 South (Orange Belt).
Go 9.7 miles on Rt. 48.
At T, Go left to continue on Rt. 48.
Go 1 mile to Boston Bridge. Stay in right lane.
Continue straight for 3 miles on Rt. 48.
Turn left onto Rock Run Road and go 1½ miles.

from Irwin

Go West on Rt. 30 to Rt. 48.
Go 4 miles on Rt. 48 South (Orange Belt).
At T, Go left to continue on Rt. 48.
Go 1 mile to Boston Bridge. Stay in right lane.
Continue straight for 3 miles on Rt. 48.
Turn left onto Rock Run Road and go 1½ miles.

from Squirrel Hill or East End

Rt. 30 East (Parkway 376 then exit 10) past East McKeesport.
Right on Rt. 48 South (Orange Belt). NOT Rt. 148.
Go 4 miles on Rt. 48 South
At T, Go left to continue on Rt. 48.
Go 1 mile to Boston Bridge. Stay in right lane.
Continue straight for 3 miles on Rt. 48.
Turn left onto Rock Run Road and go 1½ miles.

Outing Coordinator's Checklist

Your Decisions
___ Deposit & Confirmation sheet: Return to us within two weeks of booking.
___ Please read our policies carefully (p. 14)
___ Meal choice: Everything is delicious, but do let us know about any special dietary needs.
___ Is there a format or theme?
___ Draft beer & soft drinks?: You can also have a cash bar or run a bar tab.
___ Breakfast?: It's a good way to get your golfers here on time.
___ Head count: Update us often. Estimated counts are due at 30, 15, and 10 days before your outing. At 30 days, your deposit becomes non-refundable. Your group is responsible to pay for the number reserved at 10 days before event.
___ Payment: due 10 days in advance (it's not late until tee-off). You can earn free bonus golf by paing 10 or more days ahead.
___ Lessons...INSTEAD of golf: For beginners. We need 10 days' notice and four people, minimum.
___ Rental clubs: How many sets will you need? Men, women, right, left....
___ Cart-pairing and foursome list: Best if done a week ahead. No fivesomes, must be 18 to drive a cart. We will assign starting holes.
___ Prizes: See p.13. Logo items have a 4-6 week lead time.
___ Scoring: We can do your scoring free with a $5.00/person minimum prize purchase, or you can pay $1.00/person.
___ Events: Skill prizes, hole-in-one insurance, etc.
___ Hole sponsors: Are you getting tee signs?
___ Do you need a registration table?
___ Outside alcoholic beverages are prohibited by PA law. Glass bottles are prohibited. We will check coolers.
___ If you're eating in the clubhouse, do you need a microphone, a podium, a prize table, a TV/VCR?!

Inform your players
___ Flyers and Invitations: First, announce the event & print details for participants.
___ Map and directions: Detailed direction cards can be faxed or printed from our website.
___ Collect the $$$: If individuals are paying you, set a firm, EARLY cutoff date.
___ Special dietary needs: We are happy to accommodate any diet if we know in advance.
___ Alcohol: Outside alcohol is not permitted on the course, and glass bottles are expressly prohibited.
___ Lessons...INSTEAD of golf: Please encourage any beginners to try this.
___ Will you need helpers? See guidelines on p.16.
___ Early arrival: Each player should be ready at least 45 minutes before their tee time. Even better: provide breakfast to inspire them to arrive earlier.
___ Out-of-towners and stay at our Bed & Breakfast. 412-751-6670.
___ Breakfast: If you aren't having a group breakfast, let everyone know the restaurant hours.
___ Driving range: Please note that there is separate parking at the range (it is not adjacent to the clubhouse).
___ Events: Make up a list for everyone so they know what the events are (hole numbers with skill prizes, scramble or special rules, etc.).
___ Faster play: Tell everyone about the "seven swing rule." After 7 strokes (including whiffs), pick up and place your ball about 10 feet from the cup and putt. It's faster and less frustrating. The goal for an outing is to be off the course in 4.5 hours, and that they should try to play 'ready golf.'
___ Rental clubs: Find out who needs sets.
___ Showers: We have changing areas and showers. We sell $3.00 towels that you keep. We don't have lockers.
