Thank you for your interest in holding your event at the Rock Run Inn.
We will do our best to make your day a success, and we also need you to understand our policies. Please read carefully and call us with any questions or special menu item requests -- we can give pricing on customized menus, too!
Prices listed do not include 18% service or 7% sales tax. Gratuity is not required, though recognition for exceptional service is always appreciated. Alcoholic beverages are subject to the 7% drink tax.

As noted in our policies, Pennsylvania liquor laws will be strictly followed. No person who is visibly intoxicated or who is under the age of 21 will be served any alcoholic beverages. The LCB requires that we request acceptable identification for any guests who appear to be under 21. Alcoholic beverages purchased elsewhere may not be brought onto our licensed premises.

 Picnics

Our picnic pavilion has seating for 120, with a port-a-john, gas grill, electricity, and a water fountain. It is BYOB, and Reservations are required.
Pavilion options:
  1. Self-catering rental: Fee for four-hour period is $200.00. You do not need to purchase any food from us. However, if your pre-tax food purchases are over $250.00, you can deduct $150.00 from the rental fee (see a la carte pricing chart).
  2. Take-Out Package: Cost is just the per person price of package chosen (see below). You may use the pavilion for a four-hour period. All food is picked up by you in our restaurant. Note: we are not responsible for undercooked meat. 7% sales tax is additional.
  3. Catered Package: Cost is just the per person price of package chosen (see below). You may use the pavilion for a four-hour period. Our staff sets up, cooks & cleans up. Includes up to three hours of foodservice, after which all food is returned to the kitchen (due to animals). 18% service fee and 7% sales tax are additional, but gratuity is optional.

Event Policies

1) DEPOSIT & INSTALLMENT INFORMATION

  • Within 10 days of 'penciling-in' an event, your initial deposit is due. Your event will not be reserved in our system until your deposit and signed confirmation have been received. The initial deposit amount is $150.00 (Picnics = $200.00). This deposit becomes non-refundable at 90 days before your event.
  • At 90 days before your event, we need an additional non-refundable down payment to continue your reservation. If no bar or cash bar, it is $3.00 per person. If having a bar tab or hourly bar, the amount is $10.00 per person. (If booking within 90 days, the deposit is $150.00 + the $3 or $10 per person down payment.)
  • At 20 days before your event, one more prepayment installment is due, and your event will be canceled if this installment is not paid. The minimum installment is an additional $3.00 per person for groups with no bar or cash bar, or $10 per person for groups with a bar tab or hourly bar.
  • All financially responsible persons must complete and sign the confirmation sheet(s) and return with the deposit in order for us to reserve your date.
  • The deposit will normally be deducted from the invoice at the conclusion of the event. In rare cases, we may withhold the deposit pending resolution of a conflict (such as damage).

2) PRICING AND PAYMENT INFORMATION

  • Payment in full is required immediately at the conclusion of the event. If you have overpaid, we will issue a refund check on the next business day.
  • We accept cash or checks (payable to Rock Run, Inc.), and credit cards.
  • Prices do NOT include 7% sales tax or 18% service, which helps to cover expenses like room set-up and payroll and is not paid directly to the waitstaff (banquet servers earn at least minimum wage). Gratuities are not required, though recognition for exceptional service is always appreciated. Prices for alcoholic beverages do NOT include the 7% County drink tax.
  • Sales Tax Exemption certificates must be submitted before any sales tax exempt event.
  • All prices are subject to change, unless quoted in writing within 90 days of your event.

3) FOOD AND ATTENDANCE POLICIES

  • We provide all food and beverages, though you may bring your own cake and trayed cookies.
  • Ordering from our regular menu is limited to groups of 20 or less. Groups over 20 must make their selection(s) ahead of time.
  • Final selection of all menu items must be made at least 20 days in advance of the event date. We are happy to calculate pricing for substitutions or special requests, such as vegetarian or gluten-free meals.
 
  • A tentative attendance number must be given 10 days in advance of the event date.
  • Guaranteed attendance must be confirmed at least 3 days in advance of the event. Cancellations will not be accepted after that time. The final invoice will reflect the guaranteed number number PLUS any guests added on the day of the event.
  • Our room's comfortable seating capacity = 150 (though 120 is more desirable for weddings).
  • We cannot guarantee a room assignment until we have your final count. We partition our rooms based on party sizes. Your group may have to "share" the restrooms, and servers may pass through your room to access another party. It is our experience that this does not affect guests' enjoyment of their parties.
  • "No shows" will not be deducted from the billing statement; however, these paid-for meals can be packaged to go. There are no buffet takeouts.
  • The banquet room will be opened to you ½ hour prior to your stated arrival time. For weddings, it is wise to inform your guests of the reception's starting time.
    • Breakfasts must be served before 10 am and may occupy the room until 11:30 am.
    • Brunch and Luncheons must be served before 2:00 pm and may occupy the room until 3:30 pm.
    • If a Dinner is served before 2:00 pm, the room may be occupied until 3:30 pm.
    • If a Dinner is served after 4:30 pm, they may occupy the room for up to six hours (but not past 2:00 am).

4) OTHER INFORMATION

  • Amenities provided:
    Our rooms are non-smoking.
    The following are available:
    • Choose white or mauve linen tablecloths; white, burgundy or forest green napkins.
    • Liquid candle centerpieces on all tables.
    • Access to microphone, podium, TV, VCR, transparency projector, screen, easel.
    • Free Wi-Fi (or wired DSL) and abundant free parking.
    • Dance floor in Fairway Room.
    • Fully skirted buffet, head, and gift tables.
  • Alcohol: PA liquor laws are strictly followed.
    • No person who is visibly intoxicated or who is under the age of 21 will be served any alcoholic beverages. We check IDs.
    • Alcoholic beverages purchased elsewhere may not be brought onto our premises (the sole exception is our picnic pavilion).
  • Decorations are permitted ONLY with a manager's prior approval.
  • Confetti usage is strongly discouraged. We must charge $20.00 for cleanup.
  • We are not responsible for lost, stolen or broken property of our guests.
  • We reserve the right to monitor and control the sound levels on all entertainment, to restrict lewd behavior, and to limit card playing.
